If you're having trouble with electronic signatures in Govenda — including signing, status questions, or errors — find the issue below.
Understanding eSignature status
- Draft — The eSignature package has been created but not yet sent to signers. You'll see: "Signing unavailable until published." The administrator needs to send/publish it first.
- Sent — The package has been sent and is awaiting signatures. Check your email for a signing link, or access it through Govenda.
- Completed — All required signatures have been collected. The signed document is available for download.
- Declined — One or more signers declined to sign. No further signing is possible in the current state.
- Expired — The signing deadline has passed without all signatures being collected. You'll see: "Signing unavailable." The administrator may need to create a new package.
"Missing Signature Field"
For minutes-based approvals, the signature fields embedded in the document must match the email addresses of the designated signers. Contact your administrator to verify and correct the signature field configuration.
"eSignatures are not available in offline mode" (mobile)
eSignatures require an internet connection. Connect to the internet and try again.
"This eSignature is incomplete... cannot be trusted until all signatures have been made"
This warning appears when you download a partially signed document. It's expected — the document's signature integrity can only be fully confirmed once all designated signers have signed.
This eSignature is not in a completed state and will be permanently deleted from the system if it is not completed by [date].
This warning appears when the eSignature is in Draft, or has not been signed by all assigned signers. If the eSignature does not move to completed by the indicated date, it will be deleted from the system.
I was supposed to sign but don't see the option
- The eSignature may still be in Draft status — it hasn't been sent yet.
- The eSignature may have Expired — ask the administrator if a new one needs to be created.
- You may not be listed as a signer on this package — contact the administrator to verify.
