Learn the difference between publishing a meeting and publishing the agenda, and how to control what attendees can see.
Publishing the meeting
When you publish a meeting, it becomes visible to all invited attendees. They can see the meeting date, time, location, and other details on their dashboard and calendar.
Before publishing: Only Administrators and Super Users can see the meeting. Attendees don't know it exists.
After publishing: Attendees see the meeting, receive notifications, and can RSVP (if enabled). If calendar integration is set up, the event syncs to their Outlook or Google Calendar.
Publishing the agenda
Publishing the agenda is a separate step. When you publish the agenda, attendees can see the agenda items and attached documents.
You can publish the meeting without publishing the agenda. This is useful when the meeting date is confirmed but you're still preparing the agenda content.
How to publish the meeting
From the Meetings list:
- Find the meeting you want to publish
- Toggle the switch under the "Published" column to yes.
From the Meeting details page:
- Open the meeting details
- Click the Publish Meeting button
How to publish the agenda
- Open the meeting details page
- Click the Agenda tab
- Click the Publish Agenda button.
Unpublishing
You can unpublish a meeting or agenda to hide it from attendees while you make changes. Toggle the published status off. Attendees will no longer see the unpublished content.
What publishing triggers
- Publishing the Meeting and Agenda each generate a notification on the notifications page. The notification can be manually sent, or sent the next morning if auto delivery is enabled.
- The meeting appears on attendees' dashboards and calendars
- If RSVP is enabled, RSVP emails may be sent
- Calendar sync pushes the event to integrated Outlook or Google calendars
