With Tenure Tracking, Govenda makes it easy to track who has been in your committees, in what roles, and for how long. Adding start and end dates to user roles in Committee Suite is an important way to keep track of tenure. This is important for record keeping and legal compliance with a possible charter or company rules that need to be followed.
You can access your committee members in two ways from the Admin App:
- Groups>Committees>Select Committee>Manage Members
- Reports>Tenure Tracking>Select a Group or Search Users>Manage Users
User Visibility within Committees
In Committee Suite, after a term ends for a particular user, they will not be automatically removed from their group in Committee Suite, unless the toggle on that role is switched from ‘current’ to ‘past’.
Although the dates specifically specify that their term is up, they still will not be removed from the committee unless the toggle is switched over to ‘past’.
If you toggle the slide to “past” and hit save, it then removes the user from their particular committee.
Admin Rights
If a Committee Admin user is only assigned to one role within the committee and you’ve selected ‘past’ on the toggle slide, this removes Admin Rights for that group on that user.
If the user has a secondary role and the role is still toggled to “current”, their Admin Rights will remain intact until that secondary role is toggled to “past”. As long as a user is still in a ‘current’ role within a particular committee, they will continue to have access to admin rights.
