Learn how to create an eSignature, add documents and signers, send it for signatures, and track the signing status.
Creating a new eSignature
- Go to eSignatures in the navigation menu.
- Click New eSignature.
- Enter the eSignature name, then click Save and Continue.
- Optionally add a description or deadline.
Adding documents
You can add two types of documents:
Signing documents (required) — the documents that signers will actually sign. These have a 16 MB size limit.
Supporting documents — reference materials for signers to review but not sign. These have a 1 GB size limit.
To add documents:
- Click Add Files.
- Upload a file from your computer or copy one from another area of Govenda.
- You can add multiple documents of each type.
Adding signers
- Under Add Signers, enter the name of the groups or individuals who will be signing.
- If adding a group, select all or select individuals from the group
- At least one required signer must be added before you can send the package.
Apply eSignature Fields
- Click Save and Continue to progress to the next step and add eSignature fields
- Select a recipient, then click Signature or Signer Initials to add a signature field.
Note: Recipients without a signature field will be marked as a reviewer.
Sending the eSignature
- Click Save and Continue to publish and send the eSignature.
- A notification will be added to the notifications queue. You can choose to manually send the notification, or if Auto Delivery is enabled, the notification will be sent the next morning.
Common issue: If you see "NoSigners" when trying to send, you haven't added any required signers. Add at least one.
Common issue: If you see "Missing Signature Field", the signature fields in the document don't match the signers' email addresses. Check the document's signature field configuration.
Tracking status
After sending, track the progress of your eSignature package:
- Draft — created but not sent yet
- Sent — sent to signers, awaiting signatures
- Completed — all signatures collected
- Declined — a signer declined
- Expired — the signing deadline passed
Note: All eSignatures in Draft, or that have not received all signatures, will state: This eSignature is not in a completed state and will be permanently deleted from the system if it is not completed by [Date].
Downloading the signed document
Once all signatures are collected (status: Completed), download the fully signed document from the eSignature details page by clicking Download PDF.
Note: If you download a partially signed document, you'll see a warning: "This eSignature is incomplete... cannot be trusted until all signatures have been made." This is expected for incomplete packages.
