Learn how to manage organization-wide document permissions, watermarking, annotation auto-deletion, and native document storage. This guide is for Administrators and Super Users.
Accessing document settings
- Go to Settings in the navigation menu.
- Click Document Settings.
What you can configure
Permissions
Print, download, and annotate permissions:
- Print Documents — allow or disallow printing for all users
- Download Documents — allow or disallow downloading for all users
- Annotate Documents — allow or disallow adding annotations
- Share Annotations — allow or disallow sharing of annotations
These are organization-wide defaults. You can override them for individual users on the user's profile.
Auto-delete annotations: Choose when annotations are automatically deleted:
- Never
- 11:59pm day after meeting
- 7 days following the meeting
- 30 days following meeting
Native Files
Native document storage: Enable or disable the ability to store and edit documents in their original format (Word, Excel, PowerPoint) through Office Online.
Files uploaded prior to this setting being enabled will be in PDF format.
Watermarking
Watermarking: Configure document watermarks:
- Enable or disable watermarking
- Set the watermark prefix (for example: "CONFIDENTIAL")
When watermarking is enabled, you will have the choice to watermark all existing files or not. Disabling the setting will allow you to remove watermarks from all existing files.
Saving changes
Click Save to apply. Changes take effect for all users unless individual overrides are set.
